An online store–ERP integration is only under control after launch when someone can see whether business outcomes are achieved completely and on time. Monitor not just technical availability, but orders without ERP records, long-waiting events, failed mappings and recovery time. A green light means little if a paid order has failed to reach fulfilment for hours.
Good monitoring connects three levels: integration health, the progress of individual processes and consequences for employees and customers.
Start with business outcomes
First define what “good” means for the value stream. For example: a relevant WooCommerce order is validated, linked to the correct AFAS relationship, recorded with its lines and released for the next operational step. Only then determine the technical signals needed.
Monitor at least:
- how many events were received, processed, skipped and failed;
- the age of the oldest waiting item;
- time since the last successful processing per source and destination;
- orders that are paid but have no demonstrable ERP result;
- recurring errors by mapping, item, relationship or process step;
- how long recoverable exceptions remain open.
Always give counts context. Zero errors may mean everything is working, but also that no events are arriving at all.
Make every order traceable
An employee must be able to start from a WooCommerce order number and see which integration steps began and which external references were created. Otherwise, every incident investigation starts with searching separate log files.
Record understandable information per step: received, validated, skipped with a reason, submitted to AFAS, confirmed by AFAS and, if needed, paused for manual review. Show technical details only where administrators need them. For customer service, “waiting for item mapping” is more useful than a raw error response.
Distinguish warnings, errors and business exceptions
Not every discrepancy is a fault. An unknown SKU may be valid source data still needing mapping. Two plausible AFAS relationships create a decision point. A temporarily unreachable system is a technical error that can be retried automatically.
| Signal type | Example | Desired response |
|---|---|---|
| Warning | Processing time is increasing | Track the trend and assess capacity |
| Recoverable error | Destination system temporarily unreachable | Retry in a controlled way |
| Permanent configuration error | SKU has no mapping | Repair configuration and resume the task |
| Business exception | Several possible debtors | Employee has a decision recorded |
| Security signal | Authentication or permissions changed | Alert an administrator and stop the flow safely |
Alert for action, not noise
A notification must explain what is happening, which processes are affected and who can take the next step. If every first timeout immediately sends an email, people become used to alarms and miss important signals.
Use thresholds suited to the process. A temporary retry need not be an incident while the backlog stays limited. A paid order exceeding an agreed operational threshold does need attention. Also alert when an entire channel falls silent, even if no explicit errors are recorded.
Set up a recovery runbook
Monitoring without a recovery procedure only makes problems visible. For each common signal, describe:
- how administrators find the affected order or data flow;
- which checks are needed first;
- whether automatic or manual retries are safe;
- which step resumes;
- how the final result is checked;
- when the problem goes to a developer, supplier or process owner.
Do not make a recovery action restart the whole process by default. If three of four steps are already confirmed, rerun or execute under control only the missing step.
Plan periodic reconciliation
Even a well-monitored event flow can miss something. Periodically compare relevant source and destination results. Look, for example, for paid online store orders without an AFAS reference, deliveries without a returned final status and refunds whose financial status is unconfirmed.
Reconciliation is not a daily manual export comparison. Automate detection and show only discrepancies as concrete tasks. A silent data gap can then be found before a customer or administrator reports it.
Review monitoring after every process change
New order statuses, payment methods, warehouses or fulfilment routes also change what “normal” means. Include monitoring in every change. Add a signal for the new step before launch and check whether existing dashboards still mean the same thing.
In reliably integrating an online store and ERP you will find the complete process framework. Yindle Connect brings data flows, processing and recovery together in one manageable layer. The ForaVida case study shows how WooCommerce, AFAS and planning are approached as one chain.
A minimal weekly management routine
Alongside immediate incident notifications, review weekly trends in received and processed events, open business exceptions, the oldest backlog and commonest error reasons. Sample a few completed orders and trace them from source to confirmed destination. This also reveals semantic errors recorded as technical successes.
Then assess whether an error is an isolated data problem or a recurring category. Address structural causes through validation, mapping or process agreements; do not turn manual recovery into a permanent operation.
Frequently asked questions
Who should own integration monitoring?
The technical team monitors availability and error behaviour, while the process owner determines which backlogs or exceptions affect the business. Establish shared responsibility with an explicit first responder for each signal type.
How do you prevent personal data in logs?
Log stable technical references, process step, time and error category instead of complete customer payloads. Make sensitive details available only where an authorised administrator needs them for recovery, and apply an appropriate retention period.
When is the integration ready for ongoing management?
When not only the normal path works, but an administrator can find, understand, safely resume and verify a failed order using documented steps. Hand over monitoring and recovery before launch, not at the first incident.
