A shift change is routine at a counter, but an ongoing terminal payment does not automatically fit into the handover. The departing employee knows what the customer saw; the next employee may see only an order with an unclear status. A terminal pilot therefore needs to rehearse taking over the same payment attempt<\/a>. The aim is for the new employee to continue from known facts without repeating an action merely because context is missing.<\/p>\n

Recognise when a handover is needed<\/h2>\n

In a fictional store, the morning shift ends while a customer\u2019s payment problem is being investigated. The afternoon-shift colleague has not seen the order yet. The handover starts with the correct order reference and the last verified point. State whether a request was started, which outcome is known and which assessment remains open. A short label such as \u201cpayment in progress\u201d is too vague when different employees associate it with different actions.<\/p>\n

Also make clear who is speaking with the customer at that moment. The customer should not have to repeat their story to several employees while the same attempt is investigated behind the scenes.   4. Who takes over follow-up and customer communication?<\/li>\n<\/ol>\n

    Keep answers factual and brief. A suspected cause may be recorded separately, but must not replace the known outcome. The technical payment status should rely on verified provider information and a matching amount and currency. A note from the previous employee is important context for the investigation, but is not independent confirmation of payment. The next employee must therefore be able to follow the agreed check without reconstructing the entire history.<\/p>\n

    Practise the handover at a difficult moment<\/h2>\n

    Use fictional orders and have two employees switch roles halfway through the exercise. Start with a normal pending review, then introduce an interruption, such as a customer briefly walking away. Check that the next employee finds the existing attempt and chooses the right next step. If they immediately want to start a new request because they cannot see the previous action, information or training is missing. That is a concrete finding for pilot acceptance.<\/p>\n

    Also test a handover where the outcome is already known. The new employee must recognise this and stop acting as though everything remains uncertain. The procedure must keep both open questions and established facts visible.
