Choose a question type based on the decision you need to make later.<\/strong> Single choice suits mutually exclusive options, multiple choice suits combinations, short text suits a compact fact and long text suits explanation. Do not request free text if answers must then be coded manually.<\/p>\n

A form is not a digital document, but a data model with a user interface. The question format determines what clients understand, which validation is possible and how employees can compare answers.<\/p>\n

Start with how the answer will be used<\/h2>\n

First ask: what action follows? If one package must be selected, single choice is logical. If several facilities can be combined, use multiple choice. If the answer is a recognisable code or short name, short text fits. Long text suits context, wishes or explanation, but do not expect automatically comparable results.<\/p>\n

Yindle Portal supports these four types in questionnaires. Options can also contain explanations, images and price information. This makes it important to test not only entry, but also the summary and administrator view.<\/p>\n

Avoid false precision<\/h2>\n

Do not turn a nuanced question into a yes\/no choice because it is easier to report. Conversely, a text field for \u201cpreferred floor\u201d is unnecessarily prone to errors. Offer \u201cother, please specify\u201d only if the subsequent process can actually handle those exceptions.<\/p>\n

Limit mandatory questions to information needed to continue. A mandatory long-text field often produces meaningless answers such as \u201cN\/A\u201d. Briefly explain why you ask and what happens to the answer.<\/p>\n

Worked example: fictional service subscription<\/h2>\n

Fictional supplier KoffieKlaar sets up onboarding for business coffee machines. \u201cWhich service module do you choose?\u201d is single choice. \u201cWhen is access possible?\u201d allows several days to be selected. \u201cLocation name\u201d is short text. \u201cSpecial instructions for the engineer\u201d is long text and optional.<\/p>\n

The first version put everything in one comments field. The planner had to read and re-enter every answer. After separating the questions, the agreed module can be summarised directly as a choice while leaving room for exceptions.<\/p>\n

Use the answer-format guide<\/h2>\n

Assess each question using these five rules:<\/p>\n

  1. Is exactly one answer allowed? Single choice.<\/li>\n
  2. Are combinations allowed and independent? Multiple choice.<\/li>\n
  3. Is there a fixed answer list you can maintain? Prefer options to text.<\/li>\n
  4. Is explanation useful but not decisive? Add an optional comment beside the choice.<\/li>\n
  5. Can the team handle an unexpected answer? If not, do not offer that freedom without a follow-up route.<\/li>\n<\/ol>\n

    Record the empty case for each choice too. Is selecting nothing allowed, does it mean \u201cno preference\u201d, or is the form incomplete?<\/p>\n

    Test on mobile and in the summary<\/h2>\n

    Long option labels, images and quantities behave differently on a phone. Ask a test user to change a selection, go back and read the final review. Check that the summary uses the same language as the question.<\/p>\n

    When changing a published question, you need to know what happens to existing answers. Renaming an option can change the meaning of an old submission. Use versioning agreements or close the old questionnaire and deliberately publish a new one.<\/p>\n

    Watch combination rules for multiple choice. \u201cSelect all that apply\u201d works only if options may actually coexist. If \u201cnone of the above\u201d can remain selected beside other options, administrators receive a contradictory answer. Make that option exclusive or first ask whether a category applies.<\/p>\n

    Free text needs additional agreements. Set a maximum length, accept normal punctuation and do not say an automated system understands the text when an employee actually reads it afterwards. Do not ask for information already in the file. Sensitive data also requires a clear need and an access decision in the design.<\/p>\n

    After a pilot, review which answer types are often corrected. If users enter \u201c3\u201d in a location field, the question is probably unclear. If employees almost always convert text into the same five categories, consider replacing the free-text field with managed options and space for explanation.<\/p>\n

    Finally, include an example answer in the content review. One realistic example shows more quickly whether question, options and follow-up fit together than an isolated language check.<\/p>\n
