Use one project deadline as the default and record only genuine case-specific exceptions separately.<\/strong> Always show which date applies to this client. Central management remains possible, while exceptions do not disappear into separate notes or inboxes.<\/p>\n

A deadline looks like a simple date field, but affects the dashboard, reminders, reporting and expectations. If the general date changes while some clients have extensions, one bulk action could send incorrect notifications. Explicitly design where dates come from and which takes precedence.<\/p>\n

Use a default, an override and a reason<\/h2>\n

Yindle Portal stores a deadline at category level and can override it for each case file. In the client\u2019s context, the exception takes precedence over the default. Include a reason and an owner in your working process too, so an administrator can later understand why a date differs.<\/p>\n

Do not use an override as a new default policy. If half the case files receive the same different date, the default or the way cases are grouped probably needs to change.<\/p>\n

Make the date meaningful to the person<\/h2>\n

\u201cDeadline 14 October\u201d is insufficient if the client does not know what needs to happen by then. Write: \u201cSubmit your material choice by 14 October.\u201d State the time zone and time when hours matter. Explain what changes after that date: does the choice become read-only, will someone get in touch, or can it still be submitted with a warning?<\/p>\n

Show the date on both the dashboard and the task, but manage it in one place. Duplicate entry creates contradictions. A portal architecture<\/a> needs to establish this source agreement early.<\/p>\n

Worked example: a fictional home energy improvement programme<\/h2>\n

In this fictional example, energy cooperative SamenWarm organises insulation visits. The default deadline for submitting home information is 1 November. Four households receive an extension until 8 November because their survey reports arrive later.<\/p>\n

Each case file shows one applicable date. The progress list uses that effective date too. When SamenWarm moves the project deadline to 3 November, the four explicit exceptions remain at 8 November. The administrator then checks whether the reason still applies. This fictional example illustrates the priority model; it does not claim an energy project has been implemented in the software.<\/p>\n

Run the four-stage deadline check<\/h2>\n

Test these four moments for every deadline feature:<\/p>\n

Include a general date, two exceptions, an empty date and a change after the first reminder has been sent. Also check daylight saving time changes when an exact time matters.<\/p>\n

Do more than turn the date red<\/h2>\n

A red overdue date without a way forward increases stress. Explain whether submission is still possible or who can be contacted. For administrators, filters for approaching, overdue and exceptional deadlines are more useful than one long chronological list.<\/p>\n

Document who may grant an exception and regularly clear expired overrides. A deadline arrangement is manageable only when exceptions also have an end.<\/p>\n

Consider dependent deadlines. If a client can only choose after an adviser has posted a proposal, the response period must not begin while that proposal is missing. Define the starting point as an event and calculate the date from it where necessary. A fixed calendar date is appropriate only if all case files are genuinely ready at the same time.<\/p>\n

Also test a change just before expiry. Show the new date in the portal, but send a correction message only if the change affects the client. Briefly state the previous date and the reason; a silent change damages trust. Keep an internal record of who changed the date and which group was affected.<\/p>\n

Finally, create a report with three separate counts: open before the deadline, open after the deadline and case files with exceptions. Avoid combining them into one \u201coverdue\u201d percentage. The first group may need an ordinary reminder, the second personal follow-up and the third a check of the agreed arrangement.<\/p>\n

Spot-check that the date is the same on the dashboard, in the detailed task and in sent communications. One inconsistent display is enough to create doubt.<\/p>\n
